How to set up Daily log

The daily log allows for daily documentation of manpower, equipment/materials used, weather restraints, or any other custom field needed.

Daily logs are usually filled out by the construction workers on the construction site and can be separated between the different trades on the project. One or more approver groups can then approve or reject the different logs.

Daily logs can be printed or exported to Excel.

How to set up daily logs

 User rights

Activation and setup for daily log need to be done by a project administrator or Field administrator.

Before daily logs can be used, the project needs to have user groups and work packages.

Activate daily logs

To activate daily logs, go to:

Settings Field Add features 'Daily log' Activate.

Create types

After activating the feature, the next step is to create the entry types of daily logs used on the project.

By default, Dalux shows 'Manpower', 'Equipment', and 'Notes'.  These can be removed or edited as desired.

To create, edit, or delete these, go to Settings Field Daily log 'Types'.

 Tips and tricks

When creating daily log types, you can import types from other projects within your company. Copying daily log types can be activated in:

Company profile Standardization Libraries 'Rules for library copying'

They can then be selected when creating new daily log types.

New types can be created and the existing ones can be edited or deleted.

To create a new type, click Add. Choose the name of this entry type and select whether the type is added by default in new daily logs and whether it should be multi entry.

  • Add by default - If ticked on, this type will automatically appear in new daily logs. For types that should only be available to be added if needed, don't tick this box. For instance, a type called 'Visitors' could be created and only added when relevant in the daily log.
  • Multi entry - If ticked on, the created type can be added multiple times in the same daily log. For instance, a type called 'Company' or 'Trade' could be added, allowing the entry of different companies or trades in the same daily log.

When you are done click 'OK'.

When creating or editing a type template, the data fields on the left can be drag-and-dropped over to the right part of the window.

If setting a field as required, it has to be filled out for that specific type, unless the type is removed from the daily log.

Click 'Save' when you are done.

The order of types in the daily log can be changed by using Move up/Move down. The change of order is reflected inside daily logs and when viewing daily logs in the side menu in the Field module.

Archive and restore daily log types

Daily log types can be archived so that they cannot be used in new entries. If you later need the type to be available in daily logs, it can be restored.

The archived type is still available in existing daily logs.

Creating groups and setting permissions

To set who can create a daily log, permissions will need to be defined.

To set up these permissions go to Settings Field Daily log 'Permissions'. In this window, groups can be added or edited.

To add a group, click Add. For the group you need to select:

  • Who is the reporter (user group)
  • Which work package the daily log is for
  • Who should review the daily log before approval (optional)
  • Who should review and approve the daily log (optional)

If the group is set to 'Active', users in the user group can start creating daily logs.

For daily logs to work, user groups and work packages are required. Daily log is tied to work packages, so you cannot add the same work package to different daily log groups. Only one group can be associated per daily log.

Groups only have access to the daily log entries of the work package for which they are set as reporter or reviewer.

Please note, that daily logs submitted by reporters with no reviewers are automatically approved. If you have two reviewer roles, the second reviewer can only approve a daily log if the first reviewer has already approved it.

Automatically log the weather

You can choose at what times weather data should be logged for your daily logs. While you set the time stamps for the daily logs explicitly, the type of data is managed in the weather settings.

For your daily logs, you can set at what times the weather should be documented in the daily entries. This will then be done automatically, without the reporters having to enter data themselves.

To set this up go to Settings Field Daily log 'Log weather'.

From this window, add the times at which weather should be logged.

Click Add and type in a time to add it to all future daily logs. Note that only a maximum of five slots can be added.

Signatures

You can activate the signatures feature, which will require a signature to be added, when a daily log is submitted or approved.

If you deactivate the feature, existing signatures will remain visible, but new logs will not require them.

With the setup done, the daily log feature can now be used on the project.
