This article covers the work packages and workflow setup for Handover. Work package names are shared across Dalux Field and Handover, but the workflows need to be set up separately.
User rights
Setup for Handover needs to be done by a project administrator or a Handover administrator.
The different roles in Handover
Handover administrators
The Handover administrators can change all settings in Handover. They are also the only users in Handover who can prepare assets with the 'Draft' status (if activated in the status setup). They can also change the status of assets to any of the activated statuses.
Handover administrators can also:
- Set up the workflow paths for the handover process
- Set the requirements for the handover material with templates and properties
- Prepare the asset cards and assign them to work packages
- Import data to and export data from Handover
Review managers
The review manager(s) in Handover is responsible for reviewing and approving the handover material. They can change the statuses of assets in the review categories. They are the only users who can create tasks on assets and are responsible for closing finished tasks.
Creator roles
The first role in the responds column (1) of a Handover workflow, can create assets and products and change the status of an asset to 'Ready for review' when the review asset status is activated.
The second role in the responds column (2) of a Handover workflow can create assets and products but can only change the status to 'New', 'In progress', or 'Completed.
How to set up the Handover work packages and workflows
Work packages in Handover are the same as work packages in Dalux Field but need to be set up separately in Handover.
Creating work packages in Handover also creates work packages in
Field - and vice versa.
Work packages and workflows in Handover are found in
Settings
Handover
Work packages.
In Handover, there is the role of 'Review manager'. The review manager is one or more users on the project, who are responsible for reviewing assets.
Only the review managers can send tasks within the Handover module.
Each work package is empty, so workflows can be added to those work packages where Handover is relevant.
To do so, open a work package, click on 'Add' and then 'Create' in the pop-up window.
This adds a workflow and user groups can then be added. The users added here will have access to Handover and can create assets and products. Adding roles and branches work the same in Field and Handover.
Click on 'Add users' and select a user group.
To add more steps to the workflow, an additional role can be created by clicking when hovering over a role.
The workflow created in Handover should match the requirements of the project.
