On a typical project, construction managers assign and monitor many tasks with subcontractors. Handling these tasks quickly and efficiently is a core responsibility of the role.
Tasks are typically linked to construction processes such as quality issues, RFIs, or defects, and are managed through strict workflows that define both creator and responder.
Your inbox
Your inbox contains all construction tasks that require your attention, whether it is a new task assigned to you or your team, or a response to a task you are involved in on the project.
A red number next to Field shows how many tasks are in your inbox. In this example below, the number 13 indicates open tasks in your inbox.
The inbox gives you a consolidated view of everything that needs to be reviewed, answered, or followed up on, so you can act on what requires attention without losing track of the broader project.
Task status
Every task has a status showing where it stands in your workflow. This helps you identify what needs action and what you have completed.
Tasks are automatically sorted into folders based on their status.
For example:
- New: Tasks that need your attention, found in your inbox
- Ongoing: Tasks where someone else is currently responsible for the next step
- Awaiting approval: Tasks you have responded to and that are now awaiting approval from the creator
- Closed: Tasks you were part of that have been completed and resolved
Filtering your tasks
As a construction manager, you will likely be dealing with a high volume of tasks at any given time. Filters help you concentrate on what matters most.
Use filters to quickly find tasks assigned to you, focus on specific categories like RFIs or defects, and reduce clutter so your most important items stay front and center.
Filters can be applied to all folders, but the ability to use saved filters is available exclusively in the "All tasks" folder.
Best practices
- Check your inbox at the start of each day to get a clear picture of what requires your attention
- Use filters regularly to stay focused on open or relevant tasks
- Check task updates regularly to stay aligned with project progress
