Step 2: Send RFIs to the construction manager

As a subcontractor, you can create and manage RFIs directly from site using the Dalux Mobile app.

This allows you to raise questions immediately when they arise, ensuring fast clarification and fewer delays in production.

RFIs are sent through a structured workflow directly to the construction manager for review and response.

What is an RFI

An RFI (Request for Information) is a structured question used in practice to clarify uncertainties before continuing work.

As a subcontractor, you typically create an RFI when you encounter issues on site that block your work, such as unclear drawings, missing information, installation uncertainty, or conflicts between project documents.

RFIs are used instead of informal communication because they ensure that questions and answers are documented, traceable, and linked directly to the project. This reduces misunderstandings and ensures everyone works from the same information.

How to create and send an RFI from site

As a subcontractor, RFIs are typically created directly on site using the Dalux Mobile app at the moment the issue is discovered.

This ensures that questions are captured while context is fresh and work is not delayed unnecessarily.

  1. Navigate to the level and click on the drawing
  2. Create a new registration and select 'RFI'
  3. Fill out the task from top to bottom:
    • Photo
    • Short subject (use abbreviations)
    • Deadline
    • Consequence
    • Detailed description
  4. Send the RFI directly to the construction manager

Once sent, the RFI is located in your 'Ongoing' folder, awaiting a response from the construction manager.

Where to find RFIs

Responses come directly back to your inbox, ensuring you are always updated without needing to chase information.

It is important to check your inbox regularly while on site to avoid delays in production.

How to handle RFI responses

Once a response is received, review it to confirm whether it resolves your question. 
Then either close the task or request more information.

Approve and close

You can close the RFI directly once the response has cleared the question. This confirms that the issue is resolved and no further information is needed.

The RFI will be moved to your 'Closed' folder once it has been completed.

Assign

If further clarification is needed, the RFI can be kept open or returned to the construction manager. 

The RFI will be placed back in your 'Ongoing' folder, in the same way as when it was first created.

What a good RFI looks like

A strong RFI fulfills the following criteria:

  • Clear and specific
  • Created at the point of discovery on site
  • Supported with photos or marked-up drawings when possible
  • Referencing relevant project documentation
  • Written so the construction manager can respond without follow-up questions

Approve RFIs once the response has answered your question. This helps keep your inbox organized and lets everyone involved know that the issue has been resolved.
