Step 1: Set up user groups

On construction projects, work is carried out by roles, not individuals. To reflect this, Dalux uses user groups that mirror project roles. This ensures that everyone within a role has access to the right information.

For example, instead of assigning a task to “John from Company X”, it is assigned to “Electrical contractor”.

  • Tasks are assigned to roles, not individuals
  • All relevant users automatically have access
  • New participants can be added without restructuring

The approach for a good setup

Most projects already have a defined structure. This is often reflected in an organization chart, contracts, or the allocation of the project budget.

As a rule of thumb, if a role has a clear responsibility in your project, it should have its own user group. Some other guidelines to follow are:

Use role-based groups

Define groups based on responsibility (e.g. Electrical contractor, Mechanical engineer, Architect), not individuals. If a company is responsible for multiple contracts, this should be reflected as separate user groups.

Avoid company-specific names

Companies may change, roles usually don’t.

Keep a clear structure

Use a consistent naming or classification system to stay organized and enable reuse. This keeps the list sorted consistently and makes it immediately clear where each group belongs in the project hierarchy.

Start simple and don't add users yet

You can refine your setup later as your workflows become clearer. As you define workflows in the next steps, you may need to adjust your user groups by splitting or refining responsibilities. This is a completely normal process to go through, so don't be afraid to make changes during this setup stage.
