User groups - best practice

As a project administrator, you can manage permissions in Dalux using custom user groups.

User groups help you control access and responsibilities across Dalux Box and Dalux Field. A well-structured setup makes it easier to assign roles, manage users, and maintain consistency across the project.

When creating custom user groups, use a consistent structure based on the project organization.

We recommend that you use the following principles:

  • Use a classification system for naming groups
  • Create one group per company/contract
  • Subdivide groups by discipline/trade/role

This structure helps you quickly identify users and assign the correct permissions.

We recommend that you base this on the hierarchy of the organization so that it is easy to see where they belong.

Use a classification system

Large projects often include many user groups. If they aren't organized, it becomes difficult to maintain an overview.

We recommend using a classification system based on the teams of a typical construction project.

Each user group name must begin with a code—in this case, a number for all user groups:

This will give you a consistent overview of the groups. Since the default sorting is based on the group name, you will get the same sequence of groups on all projects.

Create one group per company/contract

It is recommended that user groups primarily include users from the same company or contract.

This allows you to add the user group to the relevant role in Dalux, making it easier to match their responsibilities on the project.

It also makes it easier to target all users from the same company without tracking them down in individual groups.

Subdivide the groups per discipline/trade/role

If a company or contract covers several areas, you can create additional groups per discipline, trade, or role.

Maintain the classification system so it’s always clear where each group belongs. 

This will help you target information to the relevant users, rather than sending it to everyone in the same company.

In the setup above, the same engineering company handles multiple disciplines, so they're created as new groups, but follow the numbering system.

This makes it easy to see who belongs to which group and you can assign specific permissions to the individual groups.
