How to set up Owners Portal

The Owners Portal is designed to export specific filters for tasks, checklists, inspection plans, and test plans, that selected users can then download.

You grant access to the Owners Portal to specific user groups who can download the PDF reports without accessing other parts of the project.

This portal simplifies the process for owners and project stakeholders by providing only the reports they require.

How to set up Owners Portal

User rights

Activation and setup for Owners Portal need to be done by a project administrator.

If a user group can export, they can create, edit, and delete export filters, as well as remove reports from the Owners Portal.

How to activate Owners Portal

To activate Owners Portal, go to Settings Owners Portal 'Activate'.

Once activated you can start creating filters and setting up user permissions.

How to create export filters

Export filters define what type of registrations are exported. The filters are highly customizable using the different metadata available for each registration type.

Tips and tricks

The Owners Portal filter should be created in collaboration with the project stakeholders. It is a good idea to discuss what reports are needed. For example, you can create a filter for all approved and closed tasks for a specific work package.

To create export filters, go to Settings Owners Portal 'Export filters'.

To create a new export filter, click Add. Export filters are divided between tasks, checklists, inspection plans and test plans.

In this example, we'll set up a filter for all approved and closed defect tasks in the painter work package.

Click on Tasks to start setting up a task filter.

Give the filter a name and select whether the reports should include photos, large photos or no photos. You can change these settings later.

In the list view, you can start customizing the filter. This works similarly to any list view in Dalux.

You can use Add filter or click on the different columns to filter down your results.

You can customize the filter as much as you want, such as adding specific buildings, date intervals, and more. When you are done, click 'Save' in the bottom right.

Note

The same method is used to export filters for checklists, inspection plans and test plans.

With one or more export filters created, you can start exporting reports to the Owners Portal.

How to export reports to the Owners Portal

The project administrator, or users with export permissions, can export reports using the export filters before they show up in the Owners Portal. This process ensures that reports are exported only at specific times, like during different phases of construction or at the project's conclusion.

Reports are exported in Settings Owners Portal 'Export filters'.

You can select a specific filter, multiple filters (with CTRL+click) or export all filters.

Use either Export selected or Export all.

When exporting, Dalux will show a summary of what is being exported. Click 'OK' to continue.

The export process will start, and you can see the process at the bottom of the window. The reports will automatically be added to the Owners Portal and be available to those with access.

Export tasks, checklists, inspection and test plans

The project administrator, or users with export permissions, can export tasks, checklists, inspection plans, and test plans to the Owners Portal directly from the Field list views. 

This simplifies exporting specific registrations without needing to set up an export filter first. 
When exporting, you also have the option to include attachments and photos.

Share SiteWalks to the Owners Portal

Recorded SiteWalks can be shared directly to the Owners Portal. 

From the overview menu, the entire SiteWalk can be shared at once.  Select the SiteWalk you want to share, and then click on Share to Owners Portal.

To stop sharing a SiteWalk, select the SiteWalk and click MoreStop sharing to Owners Portal

It is also possible to open a SiteWalk and select a specific starting point. This point will be shown to anyone who opens the SiteWalk from the Owners Portal.

How to manage access to the Owners Portal

To allow users to access reports in the Owners Portal or export data to it, they must be granted access permissions.

You can set permissions for entire user groups or individual users. You can control access to the Owners Portal by going to:

Settings Owners Portal 'Groups with access'.

From here you can manage which user groups have access to the Owners Portal along with their permissions.

By default, only the project administrator has access to the Owners Portal. By clicking Add you give a user group access. You can choose between:

  • View reports - Users can open the Owners Portal and download data
  • Export data - Allows the users to export reports to the Owners Portal. Users at this access level can also create, edit, and delete filters and delete reports from the Owners Portal.

How to invite users to Owners Portal

If you want to give individual users read access to the Owners Portal you can do so in:

Settings Owners Portal Owners Portal users Add.

You can select users from the project or invite external users by typing in their e-mail.

Note

If you invite external users to the Owners Portal, they will only have access to the Owners Portal and no other part of the project. They will not have access to Locations or be able to see any other users in the project.

Names, companies, and any information in the exported reports will however be visible to them.

All individual users with access to the Owners Portal will show in this list, and you can remove their access by selecting them and clicking Remove.
