Introduction

As a construction manager, the project closeout stage is one of the most hectic phases of the construction project. Most contractors are back on site fixing the final defects and closing items on the punch list, making it difficult for you to keep an overview and coordinate teams efficiently toward a successful handover.

The challenge

At project closeout, a large number of contractor teams fix defects at the same time, making it difficult to keep an overview of open to-dos. For many contracts, closing items on the punch list is required for paying out retained budget, so efficient closeout matters directly to contractors.

You and the owner create punch lists from previously unresolved issues and defects found during final walkthroughs. Teams often keep these on separate lists, risking lost items, and physical checklists quickly go outdated or missing. Under time pressure, contractors mark new issues with tape, a quick photo, or a clipboard note, and later forget the context or skip documentation entirely.

To close out a project successfully, the team must resolve every issue on the punch list, test the work, and inspect it before handover can be completed.

Full control of project closeout

Dalux provides you with several options for a clear overview of leftover work.

You can review open tasks on the Analytics dashboard, or create your own graphs from the task list view. The graph stays dynamic and will update automatically when items are closed or newly opened.

You can view open inspections or tests in matrix view or on the relevant inspection plans or test plans, and see the overall status, progress, and missing work directly from these views.

You can set up a separate task template, 'Defect', to differentiate between quality issues and items on the punch list and document the final defects.

When you conduct walkthroughs with the building owner on the construction site, you can use the Dalux app for an up-to-date overview of all open issues per area. You do not need to carry paper, and you get real-time updates. Dalux documents all issues detected during this walkthrough as defects, and you can send them to the responsible contractor immediately.

You can copy quality issues recorded earlier that should become part of the punch list to the new task type and link them, so no history is lost.

After the walkthrough, you can curate punch lists for each contractor by creating a filter for the task type 'Defect' and the respective contractors.

You can set the deadline for all items at once to conclude the official punch list. If items on the punch list are not addressed before the deadline, you can use the Remind feature to send the selected tasks and includes the issue description, its location on the construction site, and photos or attachments. For this, you can either use the default template or set up a custom template to specify what information is relevant.

Tasks that are reported ready by the contractor stay in the filters. If you have closed the items on the punch list, the information can still be found in the list view and individual tasks. Issues that get found and reported later need to be addressed during the liability period and are not part of the punch list. During this completion period, you can filter these outstanding defects further by zone or room, to coordinate the contractor teams on the construction site, so they do not block each other from working.
