Step 2: Respond to RFIs

If subcontractors have questions, they can create an RFI in Dalux through a dedicated workflow that ensures it is sent directly to you as the construction manager. It is your responsibility to clarify and coordinate any questions that come up on site and respond in a timely matter.

What is an RFI

An RFI (Request for Information) is a structured question used to clarify uncertainties in a construction project before work continues.

Subcontractors typically raise RFIs when unclear design details, missing information in drawings, questions about installation, or conflicts between documents create uncertainty.

These questions often block their work and significantly affect the progress on site.

Where to find RFIs in Dalux Field

As a construction manager, you primarily handle RFIs on desktop, where you have access to project documentation that supports accurate and well-informed responses. Your inbox serves as the central hub for incoming RFIs and you should check it regularly.

How to respond to an RFI

Responding to an RFI depends on if you can answer it outright, or if you need assistance from a designer.

Report ready:

If you know the answer, you can report the RFI ready, and provide a clear and complete response.

The subcontractor will either approve the RFI, after which it will be closed, or reject it if further information is needed. In that case, it will return to your inbox.

Assign:

If input from the designer is required, assign the ticket to them and request instructions, then wait for their response before reporting the task as ready, as described above. Dalux time-stamps all actions, ensuring full traceability throughout the project.

Best practice

A strong RFI response has the following:

  • Clear and direct communication
  • Based on project documentation
  • Easy for the contractor to understand
  • Complete enough to avoid follow-up questions

You can strengthen a response by including references to drawings or documents, clarifying notes, and attachments or marked-up visuals.
