Box implementation checklist

Use this checklist as a quick guide before inviting your team. It covers the main setup points to make sure nothing gets overlooked before you go live.

1. Folder structure and documents

  • Folder structure created and reflects project disciplines and contracts
  • Folders prefixed with a numbering or classification system
  • Folder hierarchy kept to two or three levels
  • File and document naming conventions defined and documented
  • Version history tracked in one permanent location per document
  • Dalux Sync installed for bulk file uploads and folder synchronization from the desktop (Read more: Dalux Sync)

2. User groups and permissions

  • User groups created for all project roles and contract packages
  • Numbering or classification system applied to group names, matching the folder structure prefixes
  • Folder permissions assigned per user group: upload, read, and edit rights confirmed
  • User permissions reviewed across all folders

4. Comments and communication channels

  • Comments are activated
  • User groups with access to comments reviewed: confirmed that the right groups are included before the team starts working

With folder structure, user groups, file areas, and communication channels in place, the technical foundation of your project is complete. The final step is to make sure your team is ready to use it.

5. Getting your organization ready

  • User onboarding plan defined
  • Introduction or training session scheduled before going live
  • The person who will be the first point of contact for internal support has been identified.
  • Pinned announcement prepared with project structure, key workflows, and contact details (Read more: How to set up project settings)
  • Project setup documented: folder structure, user groups, file areas, and communication channels recorded for future administrators

6. Going live

  • All checklist items above completed
  • Internal review of setup finalized
  • Users invited only after setup is complete

A good setup at this stage does not need to be perfect. It needs to be usable, agreed upon, and consistent. Start with the basics, get your team working, and scale up as the project grows. Workflows will be refined, templates adjusted, and access updated as the project evolves. The checklist above gives you just the foundation to do that confidently.
