How to set up Email notifications in FM

This article will show you how to set up email notifications in your FM instance. Email notifications cannot be customized, but you can control which email notifications should be sent from your FM instance. It is possible to have control over email notifications for tickets, work orders, and suppliers.

You can set up customized email signatures that will display at the bottom of the emails. You can read more about this in this article: How to set up Email signatures

User rights

You need to be an administrator to set up email notifications.

Email signatures are managed in Settings General settings 'Notifications':

In this window you can control which email notifications you want to have active in your FM instance. 

Email notifications are divided between tickets, work orders, and suppliers.

All notifications for work orders, both internal and external (suppliers), have been simplified in to two categories:

  • New work orders - A notification sent to the responsibles for newly created work orders 
  • Updated work orders - A notification sent to the responsibles when changes are made to the work orders, such as the status changing

All notifications for tickets have been simplified in to two categories, but can be controlled for reporter and responsible.

  • New tickets - A notification sent for newly created tickets 
  • Updated tickets - A notification sent when changes are made the ticket, such as the status changing

When sending a message on a work order or ticket, an email notification will always be sent.

User can individually customize which email notifications they wish to receive.

Technical information

If you disable a notification type, users who have the email notification for that type turned on in their personal settings will still receive it. Additionally, individual users can opt out of email notifications that are enabled in the system.

At the top of the window, you can toggle whether the email notification should be activated or not.

When you are done customizing the email notifications, click 'Save'.
